PAIA manual

How to request access to records held by OneNode.

Prepared in terms of section 51 of the Promotion of Access to Information Act 2 of 2000, as amended.

1. Purpose of this manual

This manual explains the records held by OneNode (Pty) Ltd, how to request access to a record needed to exercise or protect a right, and how OneNode processes personal information. Access is subject to PAIA, POPIA and any lawful ground for refusal.

2. Contact details

The Head of OneNode (Pty) Ltd acts as Information Officer unless another person is formally designated. Requests and enquiries may be sent to support@onenode.co.za, made by telephone at +27 68 617 8074, or submitted through the contact page. The address of the principal place of business is supplied in formal client and statutory communications and is available for a valid request.

3. Information Regulator guide

The Information Regulator publishes a guide explaining how to use PAIA and the remedies available. The guide, prescribed forms and current Regulator contact details are available from the Information Regulator PAIA portal.

4. Categories of records

  • Company, governance, statutory and policy records.
  • Financial, accounting, tax, banking, insurance and transaction records.
  • Personnel, contractor and recruitment records, where applicable.
  • Client, prospect, proposal, agreement, project, support and service-delivery records.
  • Supplier, partner, procurement, licensing and service-provider records.
  • Technology, asset, configuration, operational, security, backup, incident and continuity records.
  • Intellectual property, software, website, domain, content and brand records.
  • Marketing, communication, consent, analytics and customer-experience records.

5. Records available without a formal PAIA request

Public website pages, published policies and service information may be accessed directly. Parties to a proposal, invoice, agreement or service interaction may request their own copies through the usual contact channel, subject to identity and authority checks. This does not prevent OneNode from requiring the prescribed PAIA process where appropriate.

6. How to request access

  • Complete the current prescribed Form 2 available from the Information Regulator.
  • Identify the record clearly and explain the right that must be exercised or protected.
  • Provide sufficient proof of identity and, when acting for someone else, proof of authority.
  • State the preferred form of access and relevant contact details.
  • Send the request to the contact details in section 2. Prescribed request, search, preparation, reproduction or delivery fees may apply.

OneNode will acknowledge and consider a valid request under the time periods and procedures in PAIA. The decision will state whether access is granted, any applicable fee, and the available remedy if access is refused.

7. Grounds for refusal

Access may be refused where PAIA requires or permits refusal, including protection of another person’s privacy, confidential commercial information, safety, legal privilege, research, security, intellectual property, or records whose disclosure would breach a duty of confidence or other law. Each request is assessed on its facts.

8. Remedies

A requester who is dissatisfied with a decision may use the complaint procedure of the Information Regulator or approach a competent court, subject to PAIA and applicable time limits. Private bodies do not have an internal appeal procedure under PAIA.

9. Processing of personal information

OneNode processes personal information to manage enquiries, contracts, support, projects, billing, suppliers, security, legal duties, website operation and permitted communications. Data subjects may include clients, prospects, users, representatives, suppliers, contractors and website visitors. Recipients may include authorised personnel, operators, technology providers, advisers and public authorities where permitted or required. Some service providers may process information outside South Africa under appropriate safeguards. Reasonable technical and organisational security measures are used. 10. Availability and updates

This manual is available free of charge on this website and from OneNode on request. A physical copy may be inspected at the principal place of business by prior arrangement. OneNode may update the manual when its records, operations or legal obligations change.
